Hi, I’m a retailer on Shopify Collective, drop-shipping products imported from a
supplier’s Collective feed. I need to confirm exactly how Collective’s “Automatic
Payments” interacts with a fulfilment hold before I enable it.
Our setup:
- Payment capture method is set to “Manually” (authorise at checkout, capture later).
- A Shopify Flow captures payment after fraud/risk analysis (so orders are marked
paid a little after they’re created, not at checkout). - We’ve added our OWN location to the imported Collective products, so for each
order we can choose to fulfil from our own stock OR forward to the supplier via
Collective. - A Shopify Flow places a HOLD on the Collective fulfilment order at order creation,
so nothing auto-forwards to the supplier until we manually decide. - We are about to turn ON Collective “Automatic Payments”.
My questions:

With Automatic Payments ON, when exactly is our Shopify Payments account debited
for the supplier funds — at the moment the order is marked paid (captured), or
only when the fulfilment request is actually sent to the supplier? -
If the Collective fulfilment order is ON HOLD at the moment the order is marked
paid, is the debit still taken at marked-paid, or is it deferred until we release
the hold and the fulfilment request is sent? -
If we release the hold but fulfil the order from our OWN location (so no
fulfilment request is ever sent to the supplier via Collective), are we debited
at all? If a debit was already taken at marked-paid, is it automatically
reversed/refunded? -
Does placing a fulfilment hold on the Collective fulfilment order reliably prevent
the automatic fulfilment request being sent to the supplier (the ~2-minute
post-payment auto-forward)?
Thanks — I want to be certain that holding an order means no supplier debit occurs
until I choose to release it to them. If I self-fulfull it, i want the supplier to have no interaction or knowledge of the order.
